When you create a CourtOS account, we collect your name, email address, phone number, and business information such as facility name, address, and operating details. If you authenticate via Pickleplus Passport (our single sign-on service), we receive your verified identity profile.
Facility & Operational Data
We store data related to your facility operations, including court configurations, operating hours, pricing rules, staff rosters, coach profiles, product inventory, and branding assets that you upload to the platform.
Booking & Transaction Data
We collect booking records, payment transactions, wallet balances, charge card purchases, lesson enrollments, programme registrations, and order histories generated through the platform.
Usage Analytics
We automatically collect information about how you interact with CourtOS, including pages viewed, features used, session duration, device type, browser, IP address, and general location data. This helps us improve the platform experience.
Communications
If you contact us or use in-app messaging features (including Newton AI), we retain copies of those communications to provide support and improve our AI services.
How We Use Your Data
- Service Delivery: To operate, maintain, and improve the CourtOS platform, process bookings, manage facilities, and deliver the features you use daily.
- Analytics & Insights: To generate business intelligence, revenue analytics, customer health scores, and AI-powered recommendations (via Newton AI) that help you run your facility more effectively.
- Communications: To send service-related notifications, booking confirmations, payment receipts, and important platform updates. With your consent, we may also send product announcements and tips.
- Security & Fraud Prevention: To detect, investigate, and prevent fraudulent or unauthorized activity on the platform.

Data Sharing
Pickleplus Ecosystem Services
CourtOS is part of the Pickleplus ecosystem. We may share relevant data with other Pickleplus services to provide integrated functionality:
- Passport: Identity verification and single sign-on authentication, wallet balance synchronization.
- Forge / PaddleDNA: Training and coaching data when players or coaches opt in to connected training insights.
- Pointflow: Match scoring and activity data for players who use live scoring features at your facility.
- Pickleplus App: Facility listings, court availability, and booking data so players can discover and book at your venue.
Payment Processors
We share necessary transaction data with our payment processing partners (including Airwallex) to process payments, refunds, and payouts. These providers have their own privacy policies governing data use.
Service Providers
We engage trusted third-party vendors for hosting, email delivery, analytics, and customer support. These providers access only the data necessary to perform their services and are bound by contractual obligations to protect your information.
Legal Requirements

Data Retention & Deletion
We retain your data for as long as your account is active or as needed to provide services. Specifically:
- Account Data: Retained while your account is active and for 30 days following account deletion to allow for recovery.
- Transaction Records: Retained for a minimum of 7 years to comply with financial record-keeping requirements.
- Usage Analytics: Aggregated and anonymized after 24 months.
- Communications: Retained for up to 3 years, unless required longer for legal purposes.
You may request deletion of your account and associated data at any time by contacting us. We will process deletion requests within 30 days, subject to legal retention requirements.
